Agency Billing
The agency dashboard at dashboard.shoptest.ai shows every connected store's plan, plan limits and usage, renewals and Stripe billing. The agency pays for its stores' plans through Stripe.
A store that already had its own plan keeps it on its Shopify bill until you activate a plan for it here. Shoptest then cancels the Shopify charge. Merchants can't change the plan of a store connected to an agency: Shoptest in Shopify Admin tells them the plan is managed in the agency dashboard. Stores not connected to an agency manage billing under Shoptest > Settings > Plan & billing (see the Settings guide).
Where to find it
| Entry point | Path | What it shows |
|---|---|---|
| Billing | Billing in the side nav | Workspace-wide overview: KPIs, shops at limit, plan distribution, upcoming renewals. |
| Per-shop billing | Shops > ⋯ next to the shop > View billing detail | One store's plan, status, plan limits and monthly usage, and recent usage events. |
A shop's billing page also opens when you click its name under Shops at limit or Upcoming renewals.
Volume discount
Shops on a paid plan in the workspace lower the price of each one:
| Paid shops | Discount |
|---|---|
| 1–2 | none |
| 3–9 | 20% |
| 10–24 | 30% |
| 25 or more | 40% |
The discount applies to every shop's plan and shows on the plan cards. An agency with its own agreed pricing keeps that pricing instead. Agency shops are billed monthly.
Workspace billing overview
The Billing page is the daily check-in for billing health.
KPI tiles (top row):
| Tile | Meaning |
|---|---|
| Connected shops | Shops connected to the agency. |
| Paid shops | Shops on a paid plan that are active or in trial. Past due shops are not counted. |
| Monthly recurring | The monthly price of every active or trial shop's plan, after discounts, whether it is billed through Stripe or Shopify. |
| Shops at limit | Shops that have used up at least one plan limit. |
Shops at limit:
- Lists each shop with its plan and the limits it has reached.
- Click a shop to open its billing page. A shop that keeps showing up here may need a bigger plan.
Plan distribution:
- Lists each plan, its monthly price, and how many active or trial shops are on it.
- The same plan at two prices (for example with a discount) shows as two rows.
Upcoming renewals:
- The next 10 renewals, soonest first, with the shop, plan, Renewal date, and amount.
- Click a shop name to open its billing page.
Page-level actions (top right):
- Update payment method opens Stripe's billing portal so you can replace the card on file.
- View invoices opens Stripe's billing portal, where you can view and download invoices.
Per-shop billing page
Open a single store's billing detail from Shops > ⋯ next to the shop > View billing detail.
What you see:
| Section | Contains |
|---|---|
| Plan | Plan name, monthly price, status badge, how many limits are reached, Provider (via Stripe or via Shopify), Next billing, and Trial ends while on trial. |
| Plan limits | Test flows and tracked pages used against the limit, on-demand checks per day, products per coverage flow, broken-link pages, how often flows, monitoring and broken links run, and Monthly feature usage (AI flow generation, failure analysis, AutoFix, Safari checks, Error Scan AI, speed regression AI and plugin healing). |
| Recent usage events | Date, feature, type (Used or Refunded), quantity and description. |
When the shop has reached a limit, a red banner says how many, with a Change plan button (Activate plan if the shop has no plan yet).
Status badge meanings:
| Status | Tone | What it means |
|---|---|---|
| Active | Green | The plan is paid and current. |
| Trial | Blue | Inside the trial. Trial ends shows when it converts. |
| Past due | Red | Stripe could not charge the latest invoice. The payment method needs updating. |
| No subscription | Grey | No paid plan: never activated, or cancelled. |
Activating a plan
You can activate a plan from two places:
- Shops list: the Activate plan button on any shop without a plan (also in the shop's ⋯ menu).
- Per-shop billing page: the green Activate plan button in the Plan card.
Flow:
- In Choose a plan, pick a plan and click Continue to checkout. Compare plans shows what each plan includes.
- Pay in Stripe Checkout.
- Stripe sends you back to the page you started from, with a green confirmation banner.
- The Plan card shows the new plan as Active, or Trial if the store still has trial days left.
If the store was paying for its own plan through Shopify, Shoptest cancels that Shopify charge when you activate the plan.
Changing a plan
- On the per-shop billing page, click Change plan. It is also in the shop's ⋯ menu and on the plan limits banner.
- Pick the new plan and click Change plan.
- An upgrade starts now, and Stripe charges the difference for the rest of the billing period. A downgrade starts at the next renewal.
- A banner shows the new monthly price.
If a plan you expect is missing from Change plan, contact the Shoptest team.
Cancelling a plan
- On the per-shop billing page, click Cancel plan.
- Stripe's billing portal opens on that shop's plan. Confirm the cancellation there.
- Stripe sends you back to the per-shop billing page.
The shop keeps its plan until the subscription ends. If the cancellation takes effect at the end of the billing period, the badge stays Active until then. When the subscription ends, the badge shows No subscription.
When a shop reaches a limit
The Plan limits card marks the limit At limit, and the shop is listed under Shops at limit on the Billing page. That feature stops for the shop until its monthly allowance resets, every 30 days from the shop's billing date. Change plan raises the limits: an upgrade applies straight away.
Updating the payment method
The agency has one Stripe billing account for all its shops.
- Click Update payment method on the Billing page, or in a shop's ⋯ menu on Shops.
- Replace the card in Stripe's billing portal, then return to Shoptest.
If a charge fails, for example because the card expired, the shop's badge shows Past due. Update the card. Stripe retries the charge, and the badge clears once a retry is paid.
Invoices
Click View invoices on the Billing page or on any per-shop billing page. Stripe's billing portal opens, where you can view and download invoices.
Invoices are addressed to the agency, not the merchant.
Troubleshooting
"Stripe error: ..." banner after clicking Update payment method, Cancel plan, or View invoices
- Stripe's billing portal could not open. Contact the Shoptest team.
Status badge shows Past due
- The latest charge for that shop failed, usually because the card expired or was declined. Click Update payment method on the Billing page and replace the card. When Stripe's retry goes through, the badge changes back to Active, or Trial if the shop is still in its trial.
A shop's billing page says "This shop isn't connected to your agency" or "Invalid shop"
- The shop was disconnected from your agency, or the link is old or incomplete. Click Back to shops and open the shop from its ⋯ menu with View billing detail. If the shop isn't in the list, it's no longer connected to your agency.
A billing page says "Couldn't load billing" or "Couldn't load this shop's billing"
- The billing details didn't load. Click Try again. If it keeps failing, contact the Shoptest team.
